Welcome Parents of UC Merced Students

We would like to extend a welcome to the parents of our current and future students! We hope that the information on this Parents Page will provide you with important information about your student's UC Merced account and payment obligations.

Our Mission

The mission of Student Business Services (SBS) is to provide professional and courteous service to all members of the UC Merced community. Our core function is to produce accurate electronic billing statements and collect student obligations on behalf of the UC Regents.

Summer Session 2012 Information

Summer Session 2012 Fees

If you would like an estimate of your student's Summer 2012 tuition and fees, please see the Fees and Cost page on the Summer Session website. If you have already registered for Summer Session 2012 courses, you can expect your tuition and fees to post on student accounts on Monday, April 2, 2012. Other items, if applicable, will appear on your student account as follows:

  • Housing: If applicable and you have an approved contract, charges are expected to post on your student account by Tuesday, May 1, 2012 (if registered in Session I or in both Session I and II) or by Friday, June 1, 2012 (if registered in Session II only).
  • Financial Aid: Will post to student accounts on or after Friday, May 11, 2012 or Friday, June 1, 2012 depending on your enrollment status and provided all requirements have been satisfied.

 

Viewing Your Balance & Electronic Billing Statement for Spring 2012

Once fees are assessed onto your student's account, you may make payments towards your student's account balance. To access your student's account, go to the MyBill website and sign in using your UC Merced Net ID. From the Home page, double click the Students tab and select Account Balance. Scroll down to Account Activity for detailed and current information about all charges and any payments on your student account. Your Spring 2012 electronic billing statement is expected to be available to view on the MyBill website on Thursday, December 1, 2011 provided you have registered prior to this date.

Summer 2012 Payment Deadline

The Summer 2012 priority enrollment payment deadline is Wednesday, May 16, 2012 by 4:00 PM PT. Please pay your bill by 4:00 PM PT on or before the payment deadline to avoid adverse consequences such as late fees, holds on your student account and dropped courses due to non-payment. To access your current balance due by the semester payment deadline, go to the MyBill website and sign in using your UC Merced Net ID. From the Home page, double click the Students tab and select Account Balance. Your currrent balance is located under the Due Now column. If you are expecting funding from any source, you are responsible for ensuring that your fees are paid in full by the semester fee payment deadline. See below for specific information about payment of fees from other funding sources.

Making Payments to UC Merced

Once your student's fees are assessed onto your student's account, you may make payment towards your student's account balance. Campus Cashiering Services facilitates collection of all payments for UC Merced. Payment methods include:

  • Online: On MyBill website;
  • In Person: Campus Cashiering Services, first floor, Kolligian Library;
  • Mail: Make checks payable to UC Regents and include the student ID number in the memo field of your check. Mail to:

Deferred Payment Plan (DPP)

 

The Deferred Payment Plan (DPP) offers students the option to pay their registration fees and student housing contract amount (if applicable) in three monthly installments per semester. To qualify for the UC Merced DPP, your student must have a semester account balance of $500.00, or greater, after any authorized financial aid has been accepted for the semester. If eligible, your student's first installment payment amount will be approximately 40% of the semester account balance. The second and third installments will be 30% each of the remainder. There is a non-refundable participation fee of $40.00 per semester, which is billed to your student's account upon enrollment in the DPP.

 

Please note that as a parent, you are not able to enroll in the DPP on behalf of your student. The student is the only one who can request enrollment in the DPP. Please also note that you are not able to access the Deferred Payment Plan link on MyBill. If you select this link, you will be routed back to the login page of the MyBill website. If this happens, simply select from the links at the top of the page.

Direct Deposit of Refunds


If your student is expecting a refund of his or her financial aid, your student is encouraged to sign up for EFT (direct deposit). Your student will receive his or her refund 2-3 days earlier and he or she will not need to pick up the check from Campus Cashiering Services. If your student wishes to sign up for EFT, please visit the Refunds & EFT Authorization page of our website.

 

Family Educational Rights and Privacy Act (FERPA)

 

The Family Educational Rights and Privacy Act (FERPA) (20 U.S.C., 1232g; 34 CFR Part 99) is a Federal law that protects the privacy of student educational records. This law applies to all schools that receive funds under an applicable program of the U.S. Department of Education. FERPA gives parents certain rights with respect to their children's education records. These rights transfer to the student when he or she reaches the age of 18 or attends a school beyond the high school level. Students to whom the rights have transferred are eligible students.

Student Business Services is limited as to the student information we may release to parents of all eligible students. Student Business Services may not release a student's account balance, billing statements, or refund check status without documented consent from the student in the form of a Parent PIN (see below for more information about Parent PINs).

Federal regulations regarding the confidentiality of information about a student’s accounting provide that an institution must obtain prior authorization from the student before sharing any information with other individuals such as parents. In order to simplify and expedite the need for such information sharing, it is recommended that students authorize the University to communicate with their parents by setting up a Parent PIN (see below for more information about Parent PINs).

Parent PIN

SBS is limited as to the student information we may release to parents of all eligible students. SBS may not release a student's account balance, billing statements, or refund check status without documented consent from the student in the form of a Parent PIN. If your student wishes to give authorization for you to be able to access student account information online or over the phone with Student Business Services staff, your student should complete a Parent PIN on the MyBill website. From the home page, the student can double click the Students tab, then select Manage Parent PIN. The authorization will apply only to parents who have Parent PINs set up by their students. Without this authorization, accounting information specific to the student may not be discussed over the phone with anyone but the student.

After your Parent PIN has been established, go to the MyBill website and select the link that says, "Sign In with an assigned Parent PIN." This link is below the Student/Staff sign in section of MyBill and it looks like this:

This link will take you to the Parent sign in page, where you may enter your username and password. Once you are logged in, you may view your student's account and billing statements. See above for specific information about accessing student account and billing statements on MyBill. As a parent, you are only able to access certain areas of MyBill. You are not able to access the Deferred Payment Plan link or the Manage Parent PIN link, as these links are only accessible by students. If you accidentally select one of these links while you are logged in as a parent, you will be routed back to the login page of MyBill. You will not be logged out, but you will need to select another link at the top of the page in order to be routed back to the page you wish to view.

Once you have a Parent PIN login established, keep your Parent PIN username and password. Student Business Services staff may ask you to verify your username to confirm your identity if you call to speak about your student's account. If you forget your username or password, your student must delete your Parent PIN and create another one for you. Student Business Services does not have the ability to reset your password or username on your student's behalf.

It is important to visit MyBill often for billing statements, new charges, payment credits, and refund status. Your student is responsible for checking his or her student account and billing statements on MyBill regularly for updates to charges and credits and notifying you of any changes, especially if you do not have a Parent PIN.
